HowTo: automatically recognize documents with FreeForm module

We are ing to use the FreeForm module for an automatic recognition of documents.

Requirements:

“Colored_invoice” and “Dots_invoice” documents.

How to do:

In FreeForm section click on New on the top bar;

As Name insert “colored invoice”;

Click on Viewer on the left,load the document “colored_invoice” and click on Save;

Click again on New on the top bar;

As Name insert “dots invoice”;

Click on Viewer on the left, load the document “dots_invoice” and click on Save;

Create a workflow with the name FreeForm;

Drag the watch folder capture module and open its settings;

As watch folder insert the path “C:FreeForm Input” (or click on Browse and then click on “+” to create it);

Save the watch folder settings;

Drag the “Windows File System” Connector and configure it with the following settings:
1. Folder: C:FreeForm Output\%FREEFORMPROFILE%

Add a FreeForm trigger on Windows File System connector route and select both FreeForm profiles;

Save the settings.

You can now copy the files “colored_invoice” and “dots_invoice” into the watch folder “C:FreeForm Input”, and they will be processed by the workflow. At the path “C:FreeForm Output” will be created two folders with the names of the recognized FreeForm profiles and within each of them there will be the corresponding document.

HowTo: Configure Azure AD & tenant admin access

When using a Azure environment an administrator of the Azure domain can authorize an application to access user data on behalf of users in the Azure domain.

Scanshare v4.10 adds support for Azure for the SSO integration, just like the existing AD integration, and for tenant wide access over OneDrive for business user accounts.

In order to allow Scanshare access OneDrive for Business user data, an administrator of the Azure tenant must complete the following steps:

Go to Scanshare user section and click "User Single Sign On":

In the next dialog click + and as profile "Type" select "Azure": In this dialog you can insert:

   The name of the profile

   The Type of the profile (obviously Azure)

   The Domain of the Azure tenant

   The Username authentication only is obviously enabled and it is not possible to disable it because after this operation it will be possible to log in only with the username.

   Enable or Disable the Request OneDrive tenant access, It is possible to connect all OneDrive for Business users without making the OAuth configuration for each user. Only the Azure administrator user will do the OAuth for everyone.

If "Request OneDrive tenant access" is disabled: here you will need to insert the credentials of your Azure administrator and click "Next"

You will now be given information on the permissions that you are about to provide to the Scanshare application before accepting them:

If "Request OneDrive tenant access" is enabled:

Also in this case after insert the Azure admin credential, you will now be given information on the permissions that you are about to provide to the Scanshare application before accepting them:

After accepting the permissions required for the organization, you will have access to the Azure AD and if you also enable the "Request OneDrive tenant access" all users in the organization can use OneDrive for Business without creating OAuth profiles for each one: simply by enabling the "Use admin consent" field.

Note:

For this integration you need to have a DNS set up for your server, if you do not know how to do then I suggest you check our post on the forum: https://forum.scanshare.com/thread/how-do-i-configure-dns-for-oauth/

HowTo: store invoice data to MYOB

You are going to create a workflow where user can store extracted invoice data to his/her MYOB Company files.

Requirements:

MYOB account

Random testing invoice

MFP client, PC Client or Mobile Client

How to do:

Create a new workflow with the name: "Scan to MYOB"

Drag a client capture module (PC client or MFP or Mobile based on the used client):

Create a Selected question with a list type MYOB. Add the MYOB server address in the Server Field and choose "Company File" as return type

Create a Typed question for the MYOB username

Create a Password question for the MYOB password (optional)

Create a Selected question with a list type MYOB. Add the previous created variable in the specified fields and choose "Customer" as return type

Create a Selected question with a list type MYOB. Add the previous created variable in the specified fields and chose "Account" as return type

Create a Selected question with a list type MYOB. Add the previous created variable in the specified fields and chose "TAX CODE" as return type

Drag the Zone OCR Module and open the example invoice in it:

Create a new Zone for the Description of Services, the variable name is %OCR_DESCRIPTION%

Create a new Zone for Unit price Amount, the variable is %OCR_UNITPRICE%

Create a new Zone for Invoice Number, the variable is %OCR_INVOICE%

Create a new Zone for Invoice Comment, the variable is %OCR_COMMENT%

Drag the MYOB connector and configure it with the following settings:

As Server address the complete MYOB site address

As Company file add the variable created in the first question

As Username add the variable created in the second question

As Password the MYOB specified Company file password or add the variable created in the third question if used

Now let's move on the invoice details, as Customer you can select the MYOB Customer filtered according to your company files or add the variable created in the fourth question

As Invoice number the variable created before into the Zone OCR module (%OCR_INVOICE%)

Disable the Tax Inclusive because for this example the invoices have no tax inclusive

Click the button Invoice lines and add a new table line:

As Description add a variable created before into the Zone OCR module (%OCR_DESCRIPTION%)

As Account add a variable create before into the fifth question

As Amount add a variable create before into the Zone OCR module (%OCR_UNITPRICE%)

As Job in this case don't add anything

As Tax Code add a variable create before in the last question

As Comment add a variable create before into the Zone OCR module (%OCR_COMMENT%) (the example shows the text "Product by Scanshare")

Save the settings

You can now try to use the workflow by using the MFP. The extracted invoice data will be stored in the specified MYOB Company files.

Extra tips:

If you need to add a list of dynamic invoice lines (not statically known before), you can enable the Dynamic Invoice lines and create a JSON array in the text area below, or click on the Variables button on the right to select a variable which will contain the JSON array (this can be a common approach when data extraction is dynamically performed with a Smart OCR script)

The JSON string structure must be as an array of invoice line data, example below of a single line (Description as string, Account as string, Amount as decimal, Job as string and Tax as string):

[

     {

                 "Description":"ABC",

                 "Account":"ABC",

                 "Amount":"25.50",

                 "Job":"ABC",

                 "Tax":"ABC"

     }

]

if you need to add more lines, just add a comma and then another line object:

[

     {

                 "Description":"ABC",

                 "Account":"ABC",

                 "Amount":"25.50",

                 "Job":"ABC",

                 "Tax":"ABC"

     },

     {

                 "Description":"CBA",

                 "Account":"CBA",

                 "Amount":"12.00",

                 "Job":"CBA",

                 "Tax":"CBA"

     }

]

NOTE: the MYOB connector does not store any documents (no output profile section is visible).

HowTo: Delegating domain-wide authority for G Suite Drive access

When using a G Suite environment an administrator of the G Suite domain can authorize an application to access user data on behalf of users in the G Suite domain.

Scanshare v4.10 adds support for G Suite for the SSO integration, just like the existing AD integration, and for domain wide access over Google Drive organization user accounts.

Note: this procedure is only needed when requiring Google Drive organization access while not if using only SSO integration.

In order to allow Scanshare access Google Drive user data, an administrator of the G Suite domain must complete the following steps:

Go to your G Suite domain’s Admin console.

Select Security from the list of controls. If you don't see Security listed, select More controls from the gray bar at the bottom of the page, then select Security from the list of controls. If you can't see the controls, make sure you're signed in as an administrator for the domain.

   https://www.googleapis.com/auth/drive,https://www.googleapis.com/auth/drive.file,https://www.googleapis.com/auth/drive.metadata

Click Authorize.

Your application now has the authority to make API calls as users in your domain (to "impersonate" users). When you prepare to make authorized API calls, you specify the user to impersonate.

In order to complete the G Suite setup create a SSO profile with the "Request Drive Domain Access" check box enabled in order to complete the administrator OAuth registration.

HowTo: set a folder column on Sharepoint 365

You are going to create a workflow where user can scan to his/her Sharepoint 365 account and set a folder property (column value for the folder).

Requirements:

Sharepoint 365 account

Random testing document

MFP client or PC Client

How to do:

Create a new workflow with the name: "Set Column Folder per Library in Sharepoint";

Drag a client capture module (PC client or MFP based on the used client):

Create a selected question named "Select item for column folder" with an item list type Sharepoint. Select the target List/Library and choose "List items" as return type. The return value by default will be ID;#Value but in this case a specific column has been set as return value: Title.

Create a selected question named "Select folder" with an item list type Sharepoint. Select the target List/Library and choose "Folders" as return type

Drag the Sharepoint connector and configure it with the following settings:

As Sharepoint Site address the complete Sharepoint Office 365 address

Enable Office 365 CheckBox

As Username your email for Sharepoint Office 365

As Password the Sharepoint Office 365 password

As List/Library click refresh and it will update the list and check even if the connection has been successful. Select the target List / Library which will have the target property to update.

Open the List/Library Properties, locate the target property to modify, insert the complete variable name configured in the question (e.g. %ITEMLIST%) or pick up it with the variable button;

As Folder, insert the complete variable name configured in the question (e.g. %FOLDER%) or pick up it with the variable button;

Enable Set properties on folder, this is a new Sharepoint connector settings which sets the value of the folder column/columns equal to the properties of the last document just uploaded;

Check the output profiles;

Save the settings;

You can now try to use the workflow by using the MFP. The document will be stored on the specified Sharepoint Office 365 Site, in the target selected folder and the document and the folder will have the target property or properties set with the value dynamically selected by the user.

HowTo: use Sharepoint Lookup columns

You are going to create a workflow where user can scan to his/her Sharepoint account by setting a document property (column) of type Lookup and chosen by a pick list.

Requirements:

Sharepoint account

Random testing document

MFP client or PC Client

How to do:

Create a new workflow with the name: "Set Advanced Type in Sharepoint";

Drag a client capture module (PC client or MFP based on the used client):

Create a selected question named "Select advanced type" with an item list type Sharepoint. Select the target List/Library and choose "List items" as return type. The return value by default will be ID;#Value

Create a selected question named "Select folder" with an item list type Sharepoint. Select the target List/Library and choose "Folders" as return type

Drag the Sharepoint connector and configure it with the following settings:

As Sharepoint Site address the complete Sharepoint address or Sharepoint office 365 address (in this case enable the check box Office 365)

As Username the Sharepoint username or email for Sharepoint Office 365

As Password the Sharepoint password

As List/Library click refresh and it will update the list and check even if the connection has been successful. Select the target List / Library which will have the target Lookup property to update.

Open the List/Library Properties, locate the target Lookup property to modify, insert the complete variable name configured in the question (e.g. %ADVANCEDTYPE%) or pick up it with the variable button;

Note: for Lookup properties Sharepoint requires as a value the specific format ID;#Value where ID is the internal ID of the item into the Lookup list and the Value is its displayed value. When using the Sharepoint list items this format will be automatically used as per the above question configuration. If manually inserted, instead, it will be required to be manually created.

As Folder, insert the complete variable name configured in the question (e.g. %SUBFOLDER%) or pick up it with the variable button;

Check the output profiles;

Save the settings;

You can now try to use the workflow by using the MFP. The document will be stored on the specified Sharepoint Site, in the target selected folder and the document will have the target Lookup property set with the value dynamically selected by the user.

The date field format must be as follows: YYYY-DD-MM or with full timestamp YYYY-DD-MMThh:mm:ssZ (T= AM/PM designator and Z=Hours offset from UTC, with a leading zero for a single-digit value ).

Drag the ICR module and open configuration:

   Load the test document for this exercise and draw a zone on the "name" and name the variable as %NAME%, then select two zones around the "address" lines and name them as %ADDRESS_01% and %ADDRESS_02% .

   Draw two more zones around the "date" and "attn" and configure the field mark types as (for more info about this please refer our help manual):

   "%DATE%" of type: Charbox series ;

   "%ATTN%" of type: Simple Comb .

Drag the “Windows File System” Connector and configure it with the following settings

   Folder: %FOLDER%/%DATE%/%NAME% ;

   Filename: %ATT% %YY%-%MM%-%DD% ;

   Data output: with variable %ADDRESS_01% and %ADDRESS_02% .

On the connection from the module ICR to the connector WFS let's add two condition triggers:

   Add a Verification user, we choose in our example as verifier user "John" ;

   Add a Trigger Email before the above condition, so that the user selected as verifier will be notified by email .

Save the settings

Now open the client simulator and after configured the "settings" with the sample document to process we will have the same "MFP user experience" :

Select the workflow -> “ICR with user verification”;

Answer the requested question;

Start scan.

The workflow after reading the ICR zones will send an email to the user notifying him that a document is waiting to be verified. The user enters his area and after checking and/or modifying the variables, he approves the document which will be delivered then to the final destination folder.

“PerfectDocument.tiff” (it should be the perfect scan of the document) and various types of shifting files (see attached file)

Create a new workflow with the name: “Scan with Anchor zone”

Drag the watch folder capture module and configure it to monitor the above created folder

Drag the Zone OCR module, and open the configuration

Load the test document "PerfectDocument" for this exercise and draw a zone:

Anchor Zone:

the anchor zone can only be one unique area;

it is recommended to take a common area in the document appearing in all pages where OCR zones are set (logo, title, footer, header, ...).

OCR Zone:

draw a zone on the reference number, then select an other zone around the "Subtotal".

Change the name to “Scan without Anchor zone”

Change the path of the watchfolder

Delete the Anchor zone in the Zone OCR module

Change the path in WFS with: C:\Output\WithoutAnchor

Chande the text in the data export

Now place all documents into both watch folders: C:\Watchfolder\Scan with Anchor zone and C:\Watchfolder\Scan without Anchor zone.

You are ing to use the email notification (by trigger) and exporting variables to a txt file.

Requirements:

AD server

There must be an existing user with an email address defined

How to do:

Create a new workflow with the name: “Scan to MyCRM” (note that ‘MyCRM’ is just a random name)

Folder: CutputScanToMyCRM

Filename: Document %YY%‐%MM%‐%DD% %HH24%.%NN%.%SS%.%FFF%

As output profile we select a normal PDF, so not a Searchable PDF (edit the default selected output profile and uncheck OCR)

Folder: CutputScanToMyCRM

Filename: Document %YY%‐%MM%‐%DD% %HH24%.%NN%.%SS%.%FFF%

Add a Mail trigger on the Windows File System route with the following settings:

From: test@mail.com

To: %USEREMAIL%

Subject: Your document was processed

Body:

Your document with the following details was processed: Filename: Document %YY%‐%MM%-%DD% %HH24%.%NN%.%SS%.%FFF%.pdf The document will be imported automatically into MyCRM.

Make sure “User Single Sign On” in Users section is enabled with at least 1 AD profile enabled (AD users require to have the email address set as well otherwise variable will be empty)

Save the settings

Now you can use the PC Client or the MFP client to import or scan a document to the workflow “Scan to MyCRM”.

There will be a PDF and a TXT created. There are a lot of applications that supports importing files by using a TXT of XML file with the additional information. The workflow will also send an email to the user who scanned the document.

Create a folder on you C‐drive: C:HotFolder Invoices

Drag the watch folder capture module and configure it to monitor the above created folder

Drag the Zone OCR module, and open configuration

Load the test document for this exercise and draw a zone on the invoice number, then select a 2nd zone around the “For:”‐name (the name just below the word “ For ” )

Drag the “Windows File System” Connector and configure it with the following settings
‐ Folder: CutputInvoices\%OCR_ZONE02%
‐ Filename: Invoice_%OCR_ZONE01%_%UNIQUECOUNTER+1%

Save the settings

Now place both ZoneOCR documents into the watch folder: C:HotFolderInvoices.

The workflow will create for each “For”‐company a new Folder, and uses the invoice number for the filename

HowTo: use a barcode to split a document

We are ing to use a barcode to split a multipage document into multiple documents.

Requirements:

Barcoded document: Barcode_Batch_4‐DOCUMENTS_20‐PAGES.pdf

How to do:

Create a workflow with the name: “Barcode Splitting”

Create a folder on you C‐drive: C:HotFolderBarcodeSplitting

Drag the watch folder capture module and configure it to monitor the above created folder

Drag the Barcode Reader module and open configuration

Load the test document for this exercise and draw a zone on the barcode, use the following settings (to be configured in the barcodes list on the left side menu of the dialog):
1. Variable: BC
2. Regular Expression: DOCUMENT‐[0‐9]+
3. Disable “Fixed search region”
4. Enable “Use as separator”
5. Enable “Remove page”

Drag the “Windows File System” Connector and configure it with the following settings:
1. Folder: CutputBarcode Split
2. Filename: %BC%‐ %UNIQUECOUNTER+1%

As output profile we select a normal PDF, so not a Searchable PDF (edit the default selected output profile and uncheck OCR)

Save your settings

You can now copy the barcoded document into the watch folder, and it will be processed by the workflow. The result will be 4 documents with the following names:

DOCUMENT‐0001‐1.pdf

DOCUMENT‐0002‐1.pdf

DOCUMENT‐0003‐1.pdf

DOCUMENT‐0004‐1.pdf

HowTo: Update Scanshare

Scanshare V4 includes an update system that allows you to be up to date on all the new features. The application checks every 7 days for new updates and installs them automatically as long as your maintenance is still active. The automatic updates can be disabled in the settings. However, anytime, you can check for updates manually.

Let's see how to update the application manually just following few easy steps:

1. In the Scanshare server main page press the settings button in the upper left-hand corner and select Info.

2. The application will check if a new update is available

3. The update will be installed.

4. The update will be completed.

5. After the update is installed, click the CLOSE button. Wait for the restart of the application until you see the above screen.

HowTo: Choose the output format with triggers

We are ing to create a workflow where users can select their output, PDF or Word. To arrange this, we will use the triggers functionality.

Requirements:

PC Client or MFP Client

Random testing Document

How to Do:

Create a Selected question, with an Explicit item list with 2 static values:

Drag a client capture module (PC client or MFP based on the used client)

Create a new workflow with the name: “PDF or Word”:
1. PDF
2. Word

Name the Variable of this Question MY_OUTPUT

Drag the “Windows File System” Connector and configure it with the following settings:
1. Folder: CutputPDF
2. Filename: leave the default value

As output profile select Searchable PDF

Drag another “Windows File System” Connector, disconnect it from the previous connector (linked automatically) and make a new connection from the client capture module. Then configure it with the following settings:
1. Folder: CutputWord
2. Filename: leave the default value

As output profile select Word (create a new output profile is it doesn’t exist)

Add a Condition trigger on the first Windows File System connector route with the following settings:
1. Left operator %MY_OUTPUT%
2. Operand: Equal
3. Right operator: PDF

Add another Condition trigger on the second Windows File System connector route with the following settings:
1. Left operator %MY_OUTPUT%
2. Operand: Equal
3. Right operator: Word

(the 2 triggers will decide which route to follow based on the contents of the question variable, the items list we created. N.B. Operators are case sensitive)

Save the settings

Now you can use the PC Client or the MFP Client with the workflow “PDF or Word”. Depending on what you select in the list question, the file will be stored in one of the output folder (PDF or Word) by using the logical decision of the triggers.
